OPERATION MANAGER

DESCRIPTION OF POSITION
The Operations Manager role is a part-time position expected to entail 20-30 hrs per week. On- site hours are expected to be 9am-2pm. Some responsibilities may include off-site hours. Off-site and on-site days should be decided in coordination with the Executive Director. This person is responsible for daily logistical on-site tasks, research and planning, and will be trained to act as teacher, parent, and on-site liaison in event of Executive Director’s absence. Hours needed are subject to change with prior notice, specifically in the event of Director absence and weekend family events.

This position is supervised by Executive Director (ED) Becca Hackett-Levy and Administrative Director Kyla Ledes.

DAILY ON-SITE

  • Engage in daily site care and prep based on season and needs

  • Oversee materials inventory, ordering, and logistics

  • Care for electronic materials used by staff

  • Prep and Care of rain materials

  • Occasional in class support when a last minute sub is needed

  • Teacher paper work review

  • Library organization and book care

  • Support staff community during staff meetings, trainings, and teacher in service days


    RESEARCH, LOGISTICS & PLANNING

  • Fix, purchase, or ask community to get replacements when bigger items break

  • New infrastructure research

  • Review communications that provide advanced notice of films, weather, construction etc

    and confer with ED regarding cancellations, using alternative sites etc.

  • Connect with vendors in regards to pricing, ordering, refunds, and repairs

  • Organize volunteers for onsite projects and working events

  • Class Parent/volunteer liaison family events logistical support

  • Liaison to Recs and Parks financial office

  • Twice weekly social media updated in conjunction with teachers and marketing personnel

    OFF-SITE / ERRANDS

  • Printing, mail distribution, package pick up, materials shopping

  • Weekly laundry (paid for time and utilities, unscented detergent provided) of blankets, towels, sit spots, and other occasional items like swings. During rainy months we may

    need additional washes during the week.

  • Procure local materials

    RESPONSIBILITIES AS ON-SITE LIAISON IN EXECUTIVE DIRECTOR’S ABSENCE

    The Operations Manager will act as teacher, parent, and on-site liaison in event of Executive Director’s absence. This person should be trained by Executive Director in the basics of our pedagogy and day to day operations. To be clear, this is not a management role. In the event of Executive Director's absence, this person will be trained and knowledgeable in the necessary tasks to ensure continuity of day to day operations, but will not be handling supervisory or management issues otherwise. If supervisory or management issues arise during Executive Director’s absence, these should be assessed and handled in conjunction with Administrative Director and Board. Parent concerns or requests for meetings during an Executive Director sabbatical (especially during Summer months) are expected to be uncommon, but if these arise they should be directed to the Administrative Director to be addressed in conjunction with the Board.


    SUPPORT EXECUTIVE DIRECTOR DURING SHORT AND LONG TERM ABSENCE (ILLNESS OR DAY OFF, SABBATICAL)

  • Handle Operations Manager expected daily tasks while ensuring ED’s necessary daily safety and health policies are upheld.

  • Support ED’s longterm absence along side Administrative Director and Board of Directors.

    EDUCATIONAL/EXPERIENCE REQUIREMENTS:

  • -  High school/Undergrad diploma required

  • -  Must be able to clear a background check

  • -  3 references required

  • -  Car and license

  • -  2-3 year experience in one or more of the following: Office management, small business management, administrative assistant, church/school/community center operations, handy- person or property management.
